Event Refund & Cancellation Policy

This Event Refund & Cancellation Policy explains the conditions under which event registrations and ticket purchases made through BackspaceX Events (https://events.backspacex.com) may be cancelled, refunded, or modified.

This policy applies to events organized or co-organized by BackspaceX.

1. General Policy

We aim to maintain a transparent and fair refund process for all participants.

Unless otherwise stated on an event page, confirmed ticket purchases are generally non-refundable for voluntary cancellations or changes of mind.

However, refunds will be provided when required by applicable law or under the circumstances described below.

2. Cancellation by Participants

If a participant voluntarily cancels a booking or cannot attend an event due to personal reasons, the ticket is generally non-refundable.

This may include:

• Personal scheduling conflicts.
• Travel difficulties.
• Changes in personal plans.
• Failure to attend the event.
• Other participant-initiated cancellations.

Exceptions may apply where an event-specific refund policy offers more flexible terms or applicable law requires a refund.

3. Event Cancellation by Organizers

If BackspaceX or its co-organizers cancel an event without providing the contracted service or an agreed alternative, affected paid ticket holders will be eligible for a full refund of the amount paid for the cancelled service, including mandatory booking or processing charges, as required by applicable law.

Participants will be informed through their registered contact details wherever reasonably possible.

Refunds will be initiated within the time limits required by applicable law.

4. Event Postponement or Rescheduling

If an event is postponed or rescheduled:

• Existing tickets will normally remain valid for the rescheduled event.
• Participants will be informed of the revised date and relevant details.
• Participants who cannot attend a materially rescheduled event may request a refund.
• Refund requests will be assessed in accordance with applicable law and any more favorable event-specific terms.

5. Changes to Event Details

Minor changes to event schedules, speakers, sessions, or arrangements do not automatically qualify for refunds.

However, if an event undergoes a material change that substantially affects the service purchased, participants may request an appropriate remedy, including a refund where required by law.

6. Duplicate Payments and Technical Errors

Participants may request a refund if:

• The same booking was charged more than once.
• A payment was successful but the booking could not be fulfilled.
• An incorrect amount was charged.
• A verified technical error caused an unintended transaction.

BackspaceX will investigate such cases and arrange appropriate refunds or corrections.

7. Free Event Registrations

Free event registrations do not involve monetary refunds.

Participants who wish to cancel a free registration should notify the event team or use any available cancellation option to release their reserved place.

8. Refund Request Procedure

To request a refund, please email [email protected] with the following information:

• Event name.
• Booking or ticket reference number.
• Registered name and email address.
• Payment transaction reference, where applicable.
• Reason for requesting the refund.

Additional information may be requested where reasonably necessary to verify the transaction.

Please do not send payment card PINs, passwords, OTPs, or other sensitive authentication information.

9. Refund Processing

Approved refunds will normally be returned through the original payment method where supported.

Refund initiation and completion will follow applicable legal deadlines. Actual crediting times may also depend on the bank or payment service provider.

Where a refund is legally due, BackspaceX will not impose deductions inconsistent with applicable law.

Participants will be notified when a refund is initiated or completed, as appropriate.

10. Co-Organized Events

For events jointly organized by BackspaceX and another organization, refund requests may require coordination between the participating organizers.

The relevant event page may identify the responsible organizer and any additional event-specific conditions.

Regardless of internal arrangements between organizers, BackspaceX will provide a contact point for ticket purchases made through this platform and assist with resolving refund requests.

Event-specific terms cannot override mandatory rights under applicable law.

11. Events Affected by Unforeseen Circumstances

Events may be affected by circumstances beyond reasonable control, including natural disasters, public emergencies, government restrictions, or serious safety concerns.

Where an event cannot proceed, BackspaceX and its co-organizers will communicate the available options, which may include rescheduling or refunds.

Refund obligations will be determined in accordance with applicable law and the circumstances of the event.

12. Refund Disputes

We will make reasonable efforts to investigate and resolve disputes fairly.

This policy does not restrict your right to seek assistance from competent consumer protection authorities or courts in Bangladesh.

13. Changes to This Policy

BackspaceX may update this policy from time to time.

The version applicable at the time of booking will generally continue to govern that booking, except where applicable law or a more favorable updated policy provides otherwise.
